Job Description

The Onsite Architectural Review & Compliance Lead plays a pivotal role in managing and facilitating the architectural review and compliance processes for the Association. The Architectural Review & Compliance Lead is responsible for managing the Association processes compliant with established guidelines and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Assumes responsibility for ensuring the efficiency and effectiveness of the Department by:

  • This position reports to the Assistant General Manager.

  • Facilitate meetings, provide guidance, and ensure that decisions are made collectively and in line with community standards.

  • Make recommendations on employees regarding employment, performance appraisals, salary changes, promotions, transfers or terminations.

  • The supervisor is the go-to person for interpreting architectural guidelines and compliance standards. They help team members, homeowners, committee members, and residents understand the requirements and offer guidance on submitting applications that meet the criteria.

  • They conduct preliminary reviews of submitted applications to ensure they are complete and include all necessary information before forwarding them to the committee for evaluation.

  • The lead will act as the primary point of contact for residents submitting applications should any issues arise. They communicate application status, request additional information if needed, and notify applicants of decisions.

  • If the architectural review process involves a committee, the lead coordinates committee meetings, sets agendas, and ensures that decisions are documented accurately.

  • They provide regular reports to the HOA Board and Committee on the status of compliance matters, applications, decisions made, and any trends or issues identified during the review and inspections process.

  • The lead maintains comprehensive records of all applications and compliance letters.

  • In cases of disputes or conflicts arising from architectural review decisions or compliance matters, the supervisor will work to mediate and find solutions that align with community standards and guidelines.

  • The lead continuously evaluates the effectiveness of the architectural review process and suggests improvements or updates to streamline procedures and enhance homeowner experience.

  • Conducts monthly property inspections. Prepares and communicates deed restriction violations as needed. Enforces all policies, rules and SOPs.

  • Depending on local regulations and laws, the lead ensures that the architectural review process remains compliant with any legal requirements or restrictions as coordinated with the GM and AGM.

  • They collaborate with various team members, departments, homeowners, committee members, property managers, and board members, to ensure a cohesive and consistent approach to architectural review.

  • Write inspection schedules for team and oversees process to ensure KPIs are met for contract requirements. Performs inspections periodically and as needed to ensure compliance.

  • Understands and adheres to all company Health and Safety procedures as they relate to essential job functions.

  • Other duties as assigned.

This is NOT a remote work position. Must work on-site in office environment.

QUALIFICATIONS

  • Proficient in use of Microsoft Office software

  • Possess effective and professional communication skills, both verbal and written

  • Multi-tasking abilities essential

  • Strong organizational, leadership and problem-solving skills

EDUCATION and/or EXPERIENCE

Bachelor’s degree preferred and 2-3 years of related experience or an equivalent combination of education and experience. HOA related experience.

CERTIFICATES, LICENSES, REGISTRATIONS

Valid Driver’s License

PHYSICAL DEMANDS :

The work environment is characteristic of an office environment: sitting, standing, walking, bending and lifting are required to perform job responsibilities. The employee must occasionally lift and move up to 20 lbs. The employee will be required to drive and must be able to sit in a vehicle for extended periods.
